Regulations
§1 General provisions
- The regulations specify the rules for providing services, responsibilities, and staying on hotel premises.
- The regulations apply to all guests staying on hotel premises.
- Making a reservation or checking into the hotel constitutes acceptance of these regulations.
- The regulations are available at the reception desk.
§2 Hotel day
- The hotel room is rented on a daily basis.
- The hotel day begins at 2:00 PM and ends at 12:00 PM the next day.
- Guests wishing to extend their stay should notify the reception desk by 10:00 AM on the day of departure.
- The hotel may refuse to extend the stay in case of prior reservations.
§3 Reservation and check-in
- A valid ID document is required for check-in. The hotel may require providing data necessary for registration.
- Guests may not transfer the room to third parties without the hotel’s consent.
- Unregistered persons may stay in the hotel room only with reception approval until 10:00 PM.
§4 Night quiet hours
- Night quiet hours are in effect from 10:00 PM to 6:00 AM.
- Guests are required to behave in a manner that does not disturb other guests.
- §5 Guest responsibilities
- Guests are fully financially responsible for any damages or destruction of furnishings caused by them or their visitors.
- In case of violation of these regulations, the hotel may refuse to continue providing services.
§6 Hotel liability
- The hotel is liable for loss or damage to items brought by guests within the limits defined by law.
§7 Safety
- For fire safety reasons, it is prohibited to use electrical appliances not provided with the room (e.g., heaters, stoves).
- Smoking tobacco products and electronic cigarettes is strictly prohibited on the hotel premises. Violation of the smoking ban in hotel rooms or other prohibited areas may result in a fine of 500 PLN.
- If a fire alarm is triggered due to smoking in prohibited areas, the guest may be charged additional costs related to emergency services intervention or restoring normal operation of the facility.
§8 Pets
- Pets are allowed in the hotel only with hotel consent and after paying a fee.
- The pet owner is fully responsible for the animal’s behavior and any potential damage.
§9 Final provisions
- In matters not regulated by these regulations, Polish law shall apply.
- The hotel reserves the right to make changes to the regulations.
- The regulations apply from the date of their publication.
Privacy Policy
Pursuant to Art. 13 sections 1–2 and Art. 14 sections 1–2 of the European Parliament and Council Regulation (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter: GDPR), we inform that:

First name and last name, e-mail address, phone number, payment card number, CVC / CVV code, identity card or passport number, bank account number - Purpose and basis for processing your personal data:
Your personal data will be processed for: executing the contract concluded with the Administrator (hotel service contract, event or corporate contract), as well as taking actions at your request before its conclusion, including responding to inquiries regarding provided services (basis: Art. 6 para. 1 lit. b GDPR), fulfilling legal obligations imposed on the Administrator, especially resulting from the accounting act such as fulfilling reporting and accounting duties and issuing invoices documenting service provision (basis: Art. 6 para. 1 lit. c GDPR), based on the legitimate interests of the Administrator: to establish, assert, or defend claims, to ensure the safety of persons and property in the hotel and restaurant through video monitoring, collecting phone numbers of persons using hotel services, collecting data of hotel guests including children, collecting vehicle registration numbers of hotel guests (basis: Art. 6 para. 1 lit. f GDPR), in other cases (e.g. marketing of Administrator's services) your personal data will be processed only based on prior consent given for the purpose and scope specified in that consent. - Data retention period:
Your data will be processed for the period necessary to perform the contract and for the period during which claims related to this contract may arise and additionally for the period required by applicable law due to the necessity of fulfilling the Administrator's tax obligations. Data in video monitoring systems are stored for 7 days. If recordings serve as evidence in proceedings based on law or the Administrator learns that they may serve as evidence, the period is extended until the final conclusion of such proceedings. - Recipients of personal data may include:
Persons authorized by the Administrator (employees) who need access to personal data to perform their duties, public authorities, entities performing public tasks or acting on behalf of public authorities within the scope and purposes provided by law, entities cooperating with the Administrator on the basis of commissioned services and agreement transfers, e.g., IT, accounting, legal service providers, hotel service reservation platform providers (if booking is made through such portals), marketing service providers (for those who have consented to receive commercial information). - Your rights regarding data processing:
You have rights under GDPR, including the right to access your personal data and obtain a copy, request correction if data is inaccurate or incomplete, request deletion under certain circumstances such as data no longer necessary, withdrawal of consent without another legal basis, objection to processing, unlawful processing, or legal obligation to delete data.- data is no longer needed for the purposes collected or processed,
- the data subject has withdrawn consent on which processing is based with no other basis for processing,
- the data subject objects to processing,
- data is processed unlawfully,
- data must be deleted to comply with legal obligations,
- Right to restrict processing in the following cases:
- the data subject contests accuracy,
- processing is unlawful and data subject opposes deletion requesting restriction,
- Administrator no longer needs data but data subject needs them to establish, assert or defend claims,
- data subject objects to processing pending verification of legitimate grounds overriding objection, right to data portability, right to object to processing, right to withdraw consent where processing is consent-based, with withdrawal not affecting lawfulness of prior processing, right to lodge complaint with supervisory authority, which for the Administrator in data matters is the President of the Personal Data Protection Office.
- Voluntariness of data provision: Providing your data is voluntary; however, failure to provide data may prevent contract conclusion or service provision by the Administrator.
- Data transfer to third countries (outside the European Economic Area)/international organizations: Your personal data will not be transferred to third countries or international organizations.
- Automated decision making: Your personal data is not subject to automated decision-making, including profiling.
- Data security: We continuously analyze risks to ensure your personal data is processed securely—ensuring only authorized personnel have access and only to the extent necessary for duties. All operations on personal data are logged and performed only by authorized employees.
Minors Protection Standards
- Hotel Bielany and Hotel Kaczyce inform that Minors Protection Standards, introduced in accordance with applicable law, are in effect and applied at these premises.
- The purpose of the implemented standards is to ensure the safety of children and youth staying at the hotels and to prevent all forms of harm to minors.
- Hotel staff are obliged to follow the established rules and take appropriate actions in situations that may threaten minors' safety.
- Minors Protection Standards particularly define rules for safe interactions between staff and children, procedures for responding to suspected child abuse, and measures to ensure children’s safe stay in the facilities.
- The Minors Protection Standards document is available for review at the hotel receptions and upon guest request.
